PRIVACY POLICY

Last updated: 25 September 2026

Rockstar Runners is run by Chris Kitson as a sole trader. I provide running and strength coaching, sports therapy and runner health checks. This policy explains how I collect and use personal information when you visit this website, contact me, book an appointment or work with me.

For questions about your information, email chriskitson@live.com.

What information I collect

Depending on how you interact with me, I may collect:

  • Your name, contact details and messages.

  • Appointment, booking and payment details.

  • Your goals, training history, activity data and coaching feedback.

  • Health information relevant to safe and appropriate coaching or treatment, including information you put in a pre-assessment form, symptoms, injuries, medical history and clinical notes.

  • Information supplied by a parent or guardian when I work with someone under 18.

  • Information about your use of this website, including information collected through cookies.

I usually receive information directly from you. I may also receive information that you choose to share through the coaching platforms we use.

How I use your information

I use personal information to respond to enquiries, arrange appointments, provide and adapt coaching or treatment, maintain client records, process payments, run my business and meet legal obligations.

The lawful basis for using your information depends on the purpose. I generally use it where necessary to take steps towards or fulfil our agreement, comply with a legal obligation, or pursue a legitimate interest such as responding to an enquiry or keeping the business secure.

Health information has additional protection under data protection law. I use health information to assess your needs and provide safe and appropriate coaching or sports therapy, with your explicit consent. You can withdraw that consent by contacting me. If you do, I may be unable to continue providing a service that depends on the information. I may still need to retain relevant records where there is another valid legal reason to do so.

Email marketing

If you sign up to my email list, I use the name and email address you provide to send Rockstar Runners emails through Podia. Every marketing email includes an unsubscribe link. You can also ask me to remove you by emailing chriskitson@live.com.

Contacting me with a question does not, by itself, sign you up to the marketing list. I reply to enquiries directly by email.

Services and sharing

My website is hosted by Squarespace. Online bookings and pre-assessment forms are handled through Cliniko.

Depending on the service you use, I also use Cliniko, TrainingPeaks, Trainerize, Rehab My Patient, Podia, Microsoft Teams, Stripe and WhatsApp to deliver services, communicate, or manage payments. I share only the information relevant to each service’s role. I do not sell your personal information.

I may share relevant information with another professional involved in your care where you ask me to or otherwise agree, or where disclosure is required or permitted by law. Some providers may process information outside the UK. Where they do, I take steps to ensure appropriate protection is in place.

How long I keep information

I keep treatment records for at least seven years after the last treatment. Where treatment was provided to someone under 18, I keep the records until at least seven years after their 18th birthday. I apply an appropriate retention period to coaching records that contain health information, taking account of their contents and any insurance requirements.

I keep financial and tax records for at least five years after the 31 January submission deadline for the relevant tax year. I keep enquiries and other routine correspondence only for as long as needed to deal with them and any related follow-up.

I may need to keep particular records longer if there is an ongoing complaint, claim or other valid reason. When information is no longer needed, I delete it securely or anonymise it.

Cookies and website analytics

This Squarespace website uses cookies and similar technologies to operate and to understand how visitors use it. The website’s cookie banner lets you choose whether to allow non-essential cookies. These are restricted until you make a choice.

You can change your cookie preferences using the cookie settings available on the website. Your browser may also let you block or delete cookies, although doing so can affect how parts of the website work.

Working with under-18s

I may provide services to people under 18. Where required, I obtain and record consent from a parent or guardian before treatment. I use information about a young person only as needed to arrange and provide the service, maintain records and meet my obligations.

Keeping information secure

I take reasonable steps to protect personal information, including limiting access to client records and using services with appropriate security measures.

Your rights

Depending on the circumstances, you may have the right to access your personal information, have it corrected or deleted, restrict or object to its use, or receive a portable copy. Where I rely on your consent, you may withdraw it. These rights are not absolute; for example, I may need to retain some records for a valid legal reason.

To make a request, email chriskitson@live.com. You can also complain to the Information Commissioner’s Office if you are unhappy with how I handle your information.

Changes to this policy

I may update this policy if my services or the way I use information changes. The latest version will appear on this page
